Terms & Conditions of Booking
1. Booking Confirmation
A place on the conference will be confirmed by an email from OTSA.
Any booking remains provisional until the participant has received the confirmation email.
Full payment is required a minimum of 5 working days before the start of the conference. In making a booking the participant confirms that either they, or the organisation for which they work, will pay the invoice in line with the payment terms detailed on the invoice.
3. Participant Cancellation
Cancellations must be made in writing by email (firstname.lastname@example.org).
The conference administrator will confirm your cancellation by email and let you know if any fee will be due under the terms of our cancellation policy. Your place is not cancelled until you have received this email.
If you have any questions or require support, please email email@example.com or call 01235 856500.
Cancellations will incur the following fees:
More than 12 weeks before the first day of the conference – 50% of the fee
Less than 12 weeks but more than 3 weeks before the first day of the conference – 75% of the fee
Less than 3 weeks before the first day of the conference – 100% of the fee
Non-attendance without cancellation – 100% of the fee
These cancellation fees match those of our contract with the conference venue.
We strongly recommend that you take out 'event ticket insurance' which may cover the cost of your fee should you be unable to attend the event.
4. Event Cancellation
OTSA reserves the right to cancel the conference. In such circumstances you will be given as much notice as possible and a full refund.
Should it be necessary to cancel an event due to a ‘force majeure’ occurrence beyond the reasonable control of OTSA including, but not limited to, an act of god, extreme weather, snow, flood, natural disaster, fire, utility service failure, war, riot, terrorism, strike, etc. we will not be able to refund your fee.
The conference cost quoted on the website or publicity material is exclusive of any applicable VAT. VAT is generally recoverable by academies and maintained schools, but if in doubt please check with your finance manager.
